WhatsApp automation for distributors: orders, dispatch and payments
WhatsApp automation for distributors means connecting your ERP or billing software to the WhatsApp Business Platform so retailers and dealers automatically receive order confirmations, dispatch and delivery alerts, invoices, payment reminders and stock updates, and can place repeat orders by chat. Your ERP stays the source of truth; WhatsApp becomes the channel your trade partners already read. Done well, it cuts the “stock hai?” and “gaadi kab niklegi?” calls that eat your depot team’s day.

Why distribution runs on WhatsApp already
India’s trade runs on small businesses. The Ministry of MSME reported 4.77 crore+ Udyam and Udyam Assist registrations by 31 July 2024, and a typical distributor serves hundreds of those retailers on a beat. Orders, payment follow-ups and dispatch questions already happen on WhatsApp, just manually, from salespeople’s personal phones.
That manual layer causes predictable problems:
- Orders typed by hand from chat into the ERP, with errors and delays
- Retailers calling the depot to ask whether the vehicle has left
- Invoices and ledgers shared as screenshots, if at all
- Payment reminders that depend on one accountant remembering
- Customer history lost when a salesperson leaves with their phone
What to automate first
| ERP event | WhatsApp message | Template type |
|---|---|---|
| Sales order created | Order confirmation with items and quantities | Utility |
| Invoice generated | Invoice PDF or link, amount, due date | Utility |
| Dispatch / e-way bill | Vehicle left, expected delivery, tracking details | Utility |
| Payment due or overdue | Polite reminder specific to the invoice, with payment link | Utility |
| Payment received | Receipt confirmation | Utility |
| New scheme or product | Offer details to opted-in retailers | Marketing |
Meta’s guidelines say utility templates must be non-promotional and specific to the customer’s order, account or transaction. Mixing a scheme offer into an invoice message turns it into marketing.
WhatsApp ordering for retailers
Beyond alerts, the bigger win is letting retailers order without a phone call. A WhatsApp AI flow can:
- Offer a one-tap repeat of the last order, with quantities editable
- Understand free-text orders like “Same as last week, 5 carton extra”
- Check the order against rules you set, such as minimum order or credit limit
- Push clean orders into the ERP and send a confirmation
- Route exceptions (credit holds, special rates, disputes) to a named person
Your sales team stops being a typing pool and spends time on new outlets and collections.
Rules and costs to plan for
- Opt-in. Meta requires opt-in naming your business before you message retailers. Add a line to your order form, credit application or invoice.
- Per-message billing. Meta charges per delivered template message, and from 1 October 2026 also charges for service replies and for utility templates sent inside the 24-hour customer service window. Design flows that say what is needed in as few messages as possible.
- Invoices and GST. Under Notification 10/2023-Central Tax, businesses above ₹5 crore aggregate turnover must issue e-invoices for B2B supplies. WhatsApp is a delivery channel for the invoice your ERP already generates, not a replacement for GST compliance.
Works with the ERP you already run
Vocora’s WhatsApp ERP automation sits between your existing system and WhatsApp. It is built for Tally, SAP, Zoho, Microsoft Dynamics 365, Oracle, Odoo and custom ERPs, with integration scope confirmed in the demo. You keep your ERP; Vocora maps its events to approved templates and sends them.
- 01Pick the eventsOrders, invoices, dispatch, payments, low-stock alerts
- 02Write and approve templatesCorrect categories, English / Hindi / Hinglish as needed
- 03Connect and testERP triggers to WhatsApp, with a pilot group of retailers
- 04Add ordering and voiceWhatsApp AI for chat orders, Voice AI for missed depot calls
Do not forget the phone
Plenty of retailers will still call. If the depot phone rings out, the order goes to another distributor. Vocora’s Voice AI answers missed depot calls, takes simple reorders, and calls back when a WhatsApp order is incomplete, so the phone and chat channels stay in sync. See the distribution and B2B trade playbook and the retail page for how this looks from the retailer’s side. For general chatbot guidance, read WhatsApp chatbot for business in India.
A sample retailer conversation
Illustrative, not a real customer chat:
- Retailer: “Bhaiya, last week wala order repeat kar do, aur biscuit 5 carton extra.”
- WhatsApp AI: “Sure. Last order had 12 line items. Adding 5 cartons of biscuits. Please confirm the total below.”
- Retailer: “Confirm.”
- WhatsApp AI: “Order placed. You will get the invoice and dispatch details here once the vehicle leaves.”
If the retailer is over their credit limit, the same flow stops and alerts your accounts team instead of confirming.
Mistakes to avoid
- Automating messy data. Wrong mobile numbers or duplicate party masters in the ERP become wrong WhatsApp messages. Clean the party list first.
- Too many messages. Retailers mute numbers that send five alerts per order. Combine where you can.
- Schemes inside invoices. Keep offers in separate, opted-in marketing messages.
- No human for disputes. Credit, rate and short-supply disputes need a named person with authority.
What to measure
Track the share of orders arriving by WhatsApp instead of calls, order-entry errors, depot calls asking for dispatch status, and days sales outstanding after payment reminders start. Compare with the quarter before you switched.
Internal alerts for your own team
WhatsApp automation is not only for retailers. The same ERP events can alert your own people: low-stock warnings to the purchase manager, large or unusual orders to the sales head, overdue accounts to the collections team, and a daily dispatch summary to the depot in-charge. Because these go to people who already live on WhatsApp, they get seen faster than an ERP dashboard nobody opens. Keep internal alerts on a separate flow from customer messages so each audience only sees what it needs.
FAQ
What is WhatsApp automation for distributors?
Connecting your ERP or billing system to the WhatsApp Business Platform so retailers and dealers automatically get order confirmations, dispatch and delivery alerts, invoices, payment reminders and stock updates, and can place repeat orders by chat.
Which ERPs can it work with?
Vocora’s WhatsApp ERP automation is built for Tally, SAP, Zoho, Microsoft Dynamics 365, Oracle, Odoo and custom ERPs via API or integration. Exact scope is confirmed in the demo.
Do retailers need to install anything?
No. They receive messages on the WhatsApp they already use. You need their opt-in to message them, which can be collected on your order form, invoice or by phone.
Are payment reminders allowed on WhatsApp?
Yes, as utility templates when they are specific to the retailer’s account or invoice and contain no promotional content. Scheme offers and new product pushes are marketing templates.
Can retailers place orders by WhatsApp?
Yes. A WhatsApp AI flow can confirm repeat orders against the last invoice pattern, capture new line items and pass exceptions such as credit holds or special rates to your sales team.
What about retailers who still call the depot?
Vocora’s Voice AI can answer missed depot calls, take simple reorders and call back when a WhatsApp order is incomplete, on the same account.
