AI assistant for car showrooms: from missed enquiry to booked test drive

An AI assistant for a car showroom is a voice and WhatsApp agent that answers every enquiry call on your published number, asks the buyer which model, fuel type, budget and timeline they have, books a test drive or service slot, confirms it on WhatsApp and hands serious buyers to a sales consultant. It does not quote prices or discounts; it makes sure no buyer is lost to an unanswered phone while your team is on the floor.

Why showrooms lose enquiries

Indian auto retail is busy. FADA data reported by the Financial Express shows 4,705,056 passenger vehicles retailed in FY2025-26, up 13% year on year, within a record 29.6 million total vehicle retail across all categories. Volume like that means more calls, more WhatsApp leads and more walk-ins competing for the same sales consultants.

The leak usually looks like this:

  • A buyer calls on Sunday afternoon when every consultant is mid-demo
  • A Meta lead form comes in at 10 pm and gets a callback two days later
  • The workshop phone rings out because the service advisor is in a bay
  • A test drive is booked but nobody confirms it, so the buyer forgets
  • Notes live on personal phones, so the next consultant starts from zero

None of these is a sales skill problem. They are coverage problems, which is exactly where an AI assistant helps.

What the AI assistant handles on the showroom side

MomentWhat the assistant doesWhat stays human
Inbound enquiry callAnswers, captures model, variant, fuel, budget, city and timelinePrice, offers, exchange value
New Meta or portal leadInstant WhatsApp reply; calls if the lead goes silentNegotiation and closing
Test driveBooks the slot, sends location pin and reminderThe drive itself
After the visitPolite follow-up on WhatsApp if the buyer has not decidedFinance and paperwork

And on the service workshop side

  • Service bay booking and rescheduling by phone or WhatsApp
  • Day-before reminder call or message for booked services
  • Pickup-ready alert when your team marks the job complete
  • Simple FAQs: timings, pickup and drop, documents to bring
  • Escalation to the service advisor for estimates, complaints or warranty questions

Service calls are repetitive and time-bound, which makes them a strong first use case if you want to start small.

What a good showroom call sounds like

Illustrative script, not a real customer call:

  • Assistant: “Namaste, thank you for calling. Aap kaunsa model dekh rahe hain?”
  • Caller: “Compact SUV, petrol, budget around 12 ke aas paas.”
  • Assistant: “Got it. Test drive is weekend pe chalega? Saturday 11 am or 4 pm?”
  • Caller: “Saturday 4 baje.”
  • Assistant: “Booked. I’ll send the location on WhatsApp, and our consultant will call you about price and offers.”

Notice what it does not do: it never quotes an on-road price. That boundary keeps your pricing in the hands of people who can explain it.

Rules to respect: consent, calling and WhatsApp

  • WhatsApp opt-in. Meta requires businesses to get opt-in before messaging people, stating clearly which business they are opting in to hear from.
  • Template categories. Test drive confirmations and service reminders are utility messages; offers are marketing. From 1 October 2026 Meta also charges per message for service replies inside the 24-hour customer service window, so keep flows short and useful.
  • Outbound calls. TRAI’s February 2025 amendments to the TCCCPR keep the 140 series for promotional calls, designate the 1600 series for service and transactional calls, and tighten consent and opt-out rules. Check which category your follow-up calls fall into.

Our job is to design flows that stay inside these lines. Your job is to make sure your lead sources collect consent properly.

The full playbook for dealers is on the auto dealers and service industry page. If your dealership group runs an ERP or DMS that can push events, delivery and invoice updates can also go out through WhatsApp ERP automation. Want to know how this compares to hiring? Read AI receptionist vs human.

Mistakes dealerships make with AI assistants

  • Letting the bot talk price. On-road price, exchange value and discounts vary by day and by manager approval. Keep them human.
  • One script for sales and service. A buyer and a service customer need different questions. Separate the flows.
  • No owner for handoffs. If a hot lead lands in a shared inbox that nobody watches, the AI has only moved the leak.
  • Ignoring the workshop. Service calls are often the easiest place to start and the most repetitive for your team.
  • Skipping review. Listen to a sample of calls every week in the first month and tighten the script.

What to measure in the first month

Count calls answered that would have been missed, leads qualified, test drives and service slots booked, show-up rate after WhatsApp reminders, and how quickly consultants acted on handoffs. Your own before-and-after numbers matter more than any vendor claim.

Two-wheeler, commercial and used-car dealers

The same approach works beyond passenger car showrooms. Two-wheeler dealers often handle higher call volumes with smaller teams, so automated answering and service reminders matter even more. Commercial vehicle dealers get fleet owners calling about availability, body building and service slots. Used-car outlets field questions about specific listings, documents and inspection times. In each case the assistant asks the right questions for that business, books the next step and hands over anything that needs a price or a judgement call.

FAQ

What does an AI assistant for a car showroom do?

It answers showroom and workshop calls on your published number, asks which model, fuel type, budget and timeline the buyer has, books a test drive or service slot, confirms it on WhatsApp, and passes hot buyers to a sales consultant.

Will the AI quote on-road prices or discounts?

No. Price, exchange value, finance and offers stay with your sales team. The assistant captures what the buyer wants and books time with a consultant, so nobody hears a number your manager has not approved.

Can it call back Meta and portal leads?

Yes. If a lead goes silent on WhatsApp, Vocora can call them in Hindi, English or Hinglish to qualify interest and book a visit, within the consent and calling rules that apply to your business.

Does it work for the service workshop too?

Yes. Service bay booking, reschedules, pickup-ready alerts and day-before reminders are some of the most repetitive calls a dealership gets, and they suit an AI assistant well.

Do we need to change our showroom number?

No. Vocora sits on the numbers you already publish on Google, OEM locators and your signboard.

Which dealerships is this for?

Passenger car, two-wheeler and commercial vehicle dealers, multi-brand used-car outlets and independent workshops that lose calls when the floor or service bay is busy.
